GENERAL INFORMATION
Membership Responsibilities – The operation of the Virginia Hollinger Memorial Tennis Club must reflect credit upon the name of the late Virginia Hollinger McCloud. All Club members and their guests are to conduct themselves as ladies and gentlemen, both on and off the courts while at the Club.
No alcoholic beverages of any kind are to be served, sold, used, or permitted on the courts at any time. Any member who abuses membership privileges shall be subject to review and appropriate action by the Board of Trustees.
Reserved Courts – Courts may neither be held open nor reserved for general play. They may be reserved for official Club functions or scheduled tournament matches.
Tournaments – All club tournaments are for members age 21 and over, unless otherwise stated.
Sign up in the Clubhouse prior to tournaments. A signed application including waiver must be submitted with the fee. It is each player’s responsibility to contact the Tournament Director concerning match times.
Activities – Check Club House window, bulletin boards, newsletter, or website for Club sponsored activities and special events.
Annual Dues – Dues are billed in February of each year. Payment is due by March 15.
USING THE COURTS
Courts open at 8:00 am and close 45 minutes before sunset.
Play begins at 8:00 am - provided the courts are fit for use. A court status will be given on the club phone at all times when practical. Court maintenance needs to be performed at the end of each day. Please be considerate and vacate the courts while there is still sufficient daylight - generally 45 minutes before sunset.
During early spring and late fall we will post court closing times in the window of the office and on some gates to the courts. Please be off the courts by the posted time.
Dress – All players must wear clean, neat tennis apparel. Shirts must be worn at all times. Shoes that are not designed for clay will dig into the courts, causing damage. Shoes with deep, wide grooves, running shoes, cross trainers, or shoes with waffle bottoms are not allowed.
You must wear clay court tennis shoes while playing. If you are not sure about your shoes, please ask a staff member.
Courtesies – Always use proper tennis etiquette. Upon entering or leaving courts, always close the gates behind you. When inside the fence, don’t walk behind a court when a point is in play.
Please return stray tennis balls to the proper court only after the other court has completed their point. Striking the top of the net is prohibited. Please smooth any roughness caused by quick starts, sudden stops, or slides.
Wet Courts – It is very easy to damage a wet court. The top coat can dry (and appear dry) long before the clay below it. The staff will test the courts when determining whether they are playable. Long term damage can be done to the surface by playing on a damp, soft court.
If you are playing and it starts to rain, please stop if rain lasts more than a few minutes and surface water appears.
Clean Up – When you are finished playing, please deposit your used water cups and metal can lids in the trash buckets that are next to each court.
Racquet rack rules - During peak court usage, please use the racquet rack. It is located at the end of the grandstand between Courts 3 and 4. To insure priority, a member of the waiting group should place a racquet behind those racquets already in the rack. When a court is vacated, it becomes available to the group having a racquet in the front position.
NOTE: You may not place a racquet in the rack until all members of your group are courtside, ready for play. When members are waiting to play, you must relinquish your court upon finishing the current set. If you are practicing, hit for another 15 minutes, after which you vacate the court to those waiting. Common practice is to call out “Court Open” to notify those who are waiting. When it is your turn to take the court, you may play one set only, with 5-10 minutes warm-up (or hit for a 30-minute practice period). Then you must make the court available to others who have racquets in the rack.
Tie Breaker - When others are waiting, a mandatory set tie-breaker (first to 7 points by 2) shall be used if the score reaches 6 games all.
Three on a Court – During crowded periods, if there are only three members in your group, you are entitled to use of a court. However, you may not start with three and then add a fourth when they arrive if members are waiting for an available court.
Use of Ball Machine – Use of the ball machine must be scheduled one day in advance. The user is responsible for removing the ball machine from the office and moving it to the court. The ball machine may be used on Court 1 only. Its use shall not interfere with tennis play when the courts are fully occupied. A usage fee of $10 per hour minimum or any part of an hour and payable before the session. Before leaving the court, the user is responsible for picking up all loose tennis balls, tying up drawn nets, and returning the ball machine to the front of the office.
DAILY COURT MAINTENANCE
Closed Courts – Courts will be closed every afternoon between 1:00 and 3:00 for at least one hour or more for brushing and watering. Courts may be closed at others times depending on maintenance needs. Please follow the directions of staff members when asked to move or vacate courts.
Resuming Play – After periods of rain or court maintenance, play may resume when the courts are deemed playable by a staff member.
GUEST RULES
Guests must always be registered in the clubhouse before entering the courts.*
Members are responsible for their guests' conduct.
Members must go to the Club House to register guests in the guest registration book, and deposit the guest fee ($10 per guest) or guest pass in the box provided before entering the courts.* A guest may apply the fee from one visit to the cost of their membership dues should the guest join as a regular member within 30 days.
* If a guest is observed playing without having been signed in of the guest fee paid, a staff member may stop play between games and request that the member register and pay for the guest.
There is no limit on the number of different guests you may bring each month, but a local guest may play only twice each month regardless of with whom they play.
MEMBERSHIP CATEGORIES
Single – age 26 years or older as of January 1 of the current year.
Family – including children under 22 years of age as of January 1 of the current year.
Young Adult – age 19 - 25 as of January 1 of the current year.
Junior – age 18 or younger as of January 1 of the current year.
Trial Membership - From time to time the club may offer a trial membership for 30 days.
If offered, this is a one time only, new member opportunity.
Patron – Full membership for single or family who have contributed $1,000 or more to the Club.
Honorary - Offered on recommendation of the Board of Trustees to persons who have contributed significantly to the Club or to the game of tennis.
JUNIOR and YOUNG ADULT MEMBERS
Junior and Young Adult Members Ages 17 and up have the same court privileges as adult members at all times.
Junior Members have the same court privileges as adult members until 5:00 pm. After 5:00 pm junior members must vacate their court to waiting adult members when members ask them for the court. However, when all courts are in use and there is at least one adult member on the court, these junior members do not have to vacate the court.
Junior members may bring a junior guest for a fee of $5 per visit, limited to twice per month. Junior members may bring an adult guest for a fee of $10 limited to twice per month.
VISITING TENNIS INSTRUCTOR
Members are welcome to take lessons with a visiting tennis instructor. To give lessons at Hollinger, a visiting tennis instructor must contact the club in advance to review the procedures and complete an informational form required by our insurance. Members may pick up a copy to pass on to their instructor.
